How will this tool help?

If you have a scale model and you’re curious how to communicate your plans with key stakeholders, you’re in the right place. This tool will help you to map out your key stakeholders and develop what their communication needs are. From there, you’ll be able to develop the necessary strategies to communicate your plans effectively.

STEP-BY-STEP

To work on the tool worksheet, follow these steps:

Make a copy to your own Google Drive folder:
Click file > Make a copy > Entire presentation > Select your personal drive folder,

OR

Download a copy to your desktop:
Click file > Download > Microsoft Word (or other file type)

Step 1

Stakeholder mapping

  1. Identify Internal Stakeholders:
    • Think about individuals and groups within your organisation who will be impacted by the scaling initiative.
    • Examples include Board Members, Executive Leadership, Staff, and Volunteers.
  2. Identify External Stakeholders:
    • Consider individuals and groups outside your organisation who have a vested interest in the success of the scaling plans.
    • Examples include Beneficiaries, Donors and Funders, Partner Organisations, Community Members, and Media.
  3. Use the Stakeholder Map Template:
    • Fill in the template with the names of identified stakeholders.
    • Specify each stakeholder’s role or interest in the scaling initiative.
    • Assess each stakeholder’s influence level (High/Medium/Low).
    • Determine the communication needs for each stakeholder.

Step 2

Identifying Communication Needs

Instructions

  1. Review Each Stakeholder Group:
    • Look at each stakeholder group you identified in the Stakeholder Map.
    • Consider what specific information they need to stay informed and engaged.
  2. Determine Information Needs:
    • Board Members: Strategic updates, financial reports, risk assessments.
    • Executive Leadership: Overall progress, key metrics, challenges.
    • Staff: Detailed plans, roles and responsibilities, progress updates.
    • Volunteers: Volunteer roles, training updates, impact stories.
    • Donors and Funders: Impact reports, funding needs, success stories.
    • Beneficiaries: Service updates, new opportunities, changes in service delivery.
    • Partner Organisations: Collaboration opportunities, joint milestones.
    • Community Members: Program updates, opportunities for involvement.
    • Media: Press releases, impact stories, event announcements.
  3. Fill in the Communication Matrix Template:
    • Specify the information needed, the frequency of communication, and the channels to be used for each stakeholder group.

Developing Communication Strategies

Instructions

  1. Review Each Stakeholder Group’s Needs:
    • Refer back to the Communication Matrix to see what information each group needs and how often they need it.
  2. Develop Communication Strategies:
    • Consider the best approach to keep each stakeholder group informed and engaged.
    • Example: For Board Members, ensure transparency and regular updates to maintain trust and governance.
  3. Outline Specific Tactics:
    • Identify actionable steps for each strategy.
    • Example: For Board Members, schedule monthly board meetings and send regular email updates.
  4. Fill in the Strategies and Tactics Template:
    • Specify the strategy and corresponding tactics for each stakeholder group.

Step 4

Follow-Up and Evaluation

  1. Regular Review:
    • Conduct regular reviews of the communication plan to ensure it remains effective and relevant.
  2. Feedback Mechanism:
    • Establish a way for stakeholders to provide feedback on communication effectiveness.
  3. Adjustments:
    • Be prepared to make necessary adjustments based on feedback and changing needs.
